TITLE: Accounting and Grants Coordinator

Full Time Non-exempt

REPORTING RELATIONSHIP: Director of Finance and Director of Grants + Community Partnerships

POSITION SUMMARY: The primary responsibility of the Accounting and Grants Coordinator is to support the administrative needs of the foundation, especially in the Accounting and Grants Departments, in accordance with department policies.



Account job functions include: Administrative support of accounting; annual budget worksheet oversight, preparation of accounts payable, coding, data input and production of vendor checks for appropriate signature.


Grants duties include, but are not limited to: Database entry; formatting of contracts; oversight of grant reporting; grant/fund tracking; and assisting in maintenance of tools that integrate and track interactions between donors, donations, grants and types of funds.

PRIMARY ACCOUNTING JOB FUNCTIONS (60%):

  • Process accounts payable invoices assuring accurate and timely payment of valid vendor invoices, cash grants
  • Prepare and maintain annual budget worksheet
  • Process bank deposits (remote scanner/go to bank)
  • Point of contact for vendors when needed
  • Maintain organized vendor files and project files (hard copy and/or digital)
  • Assist Director of Finance & Accountant with annual audit
  • Perform all other accounting and administrative duties as required


PRIMARY GRANT DEPARTMENT JOB FUNCTIONS (30%):

  • Adheres to and executes Grants Department policy and processes in database, with contracts, investment committee interactions, and grantee communications.
  • Format and ensure execution of all grant agreements, including contact with signatories, in accordance with Grant Policy.
  • Monitor reporting requirements outlined in Monday.com and follow-up with grantees, as needed.
  • Assist Grants Department in ensuring electronic grant records and files are maintained.
  • Ensure connections between funds, donors and grants are maintained and cross referenced on appropriate tracking tools.
  • Record small grants in data system and maintain records of small grant approvals.
  • Collect information required to set up new vendors or grantees in the data system.
  • Maintain and update all grants reporting.
  • Ensure compliance with Grantee agreements.
  • Provides administrative support for foundation/grantee interactions, as needed.


PRIMARY ADMINISTRATIVE JOB FUNCTIONS (10%):

  • Lead mail pickup and disbursement.
  • Assist with answering phone calls.
  • Monitor office supplies and place orders on behalf of the team.
  • Assist with office and event coverage.
  • Provide other task/project-based administrative support to the organization as needed.


GENERAL FUNCTIONS:

  • Limited amount of physical effort required (lifting and carrying objects up to 25 lbs.).
  • Must be able to stand, sit or walk for periods of time.
  • Must be able to work occasional nights or weekend hours.
  • Must have a valid driver’s license in the state of Florida and up to date car insurance.
